Job Description 

  • Coordinate the ESRA-DPM Diploma, including applications, candidate communication, examiner coordination, examination logistics, and liaison with local organizers and external providers. 
  • Manage and coordinate educational, research grants and awards, including applications, selection processes, communication, and follow-up. 
  • Support the organization of international congresses, meetings, workshops, and other ESRA activities including anatomy/cadaver lab. 
  • Support the planning and coordination of activities related to the ESRA Annual Congress, working closely with the Congress team.  
  • Assist with pre-congress preparations and on-site coordination, ensuring the smooth delivery of assigned congress activities. 
  • Organize Board and Committee meetings, including agendas, minutes, logistics, and follow-up. 
  • Coordinate with external partners, suppliers, venues, and professional congress organizers. 
  • Provide general administrative and back-office support, including mailbox management, membership management, faculty communication, records, and documentation. 
  • Assist with budgets, payments, and financial follow-up related to assigned activities, in collaboration with the Accounting Officer. 
  • Travel several times per year as required for examinations, congresses, and other ESRA activities. 

 

Your Profile 

Strong professional experience in event management and coordination, ideally in an international environment. 

Proven experience organizing congresses, conferences, workshops, educational events, or similar large-scale events. 

Excellent organizational and time-management skills, with the ability to manage several projects and deadlines simultaneously. 

Willingness and availability to travel several times per year as required by the role, including for international congresses, examinations, and other work-related events. 

Strong attention to detail and a proactive, solution-oriented approach. 

Excellent communication and interpersonal skills. 

Ability to work independently as well as collaboratively in a small international team. 

Experience coordinating external stakeholders, suppliers, venues, speakers, and participants. 

Comfortable working in a fast-paced environment and handling last-minute changes or logistical challenges. 

Excellent written and spoken English. Additional languages an asset. 

Experience in a medical, scientific, professional association, or non-profit environment is an advantage.
